How to Check an RFP Before Submitting

A final RFP review should answer one question: what exactly has to be submitted, when, how, and under what conditions? A useful review is a requirement-by-requirement pass against the solicitation itself.

1. Lock down the deadline

Write down the stated submission date, exact time, and time zone. If the solicitation specifies a portal cutoff or delivery rule, record that too.

2. Find mandatory documents

Extract every required form, attachment, schedule, signature, affidavit, certification, and pricing document. Separate requirements that are mandatory from documents described as optional or informational.

3. Check amendments and addenda

Look for addenda, amendments, revisions, and acknowledgement requirements. Make sure the response reflects the latest version available to bidders.

4. Check insurance and bonds

Record coverage types and limits, certificate wording, bond percentages, surety requirements, and when evidence must be delivered.

5. Check meetings and site visits

Identify pre-bid meetings, conferences, walkthroughs, and site visits. Determine whether attendance is mandatory and record the date, time, and location.

6. Verify submission mechanics

Confirm the portal or delivery address, allowed file types, naming rules, number of copies, signatures, packaging, and cutoff time.

7. Do a source check

Before submission, compare your completed checklist with the original solicitation and the latest addenda. Automated extraction can organize the document, but the bidder remains responsible for verifying the source requirements.
