RFP checklist
- Deadline: record the exact date, time, and stated time zone.
- Submission method: identify the portal, email, physical delivery method, file format, and cutoff rules.
- Required forms: list every form, attachment, signature, and schedule the solicitation says must be submitted.
- Insurance: capture required coverage, limits, certificate language, and any additional-insured requirements.
- Bonds: check bid, performance, or payment bond requirements, percentages, forms, and delivery instructions.
- Addenda: identify every addendum and determine how acknowledgement must be documented.
- Meetings/site visits: determine whether a pre-bid meeting or site visit is mandatory and record the logistics.
- Certifications and affidavits: identify certifications, affidavits, notarization, and eligibility statements.
- Formatting: check page limits, naming conventions, signatures, packaging, and required file types.
Final verification
Do not treat a checklist as a substitute for the original solicitation. Verify each requirement against the source document immediately before submission, especially after addenda or amendments.
